Project Administrator – Location – New York

Project Administrator

The Project Administrator is an entry level role within the Klick PMO focusing on project management and office operations including timeline, budget and scope development, while servicing an array of projects within the pharmaceutical and marketing industry and collaborating closely in the day to day with other project managers. This person will also be responsible for general office assistance and performing administrative tasks.

Responsibilities:

Understanding and tracking to budgets and financials, showing your real passion for financials
Managing projects under the appropriate supervision of Sr Project Managers and / or Program Managers, reviewing client-facing deliverables and ensuring proper sign off is achieved
Fully leading scope, and showing you care by clearly identifying when something is out of scope
Leading project meetings and workflow
Leading timelines, schedules and resources, and communicating on progress against your project’s critical path
Act as single point of contact for facilities and office tech
Ordering and maintaining office supply inventory
Opening tech tasks
Maintain conference rooms
Manage and maintain desk space for hotelers
Book conference room space for non-EDGE team members
Prepare desks for new hires/hotelers (Mac v PC)
Weekly orders (includes wrangling people, managing orders, maintaining distribution lists, inventory, etc)
Manage visitor registration and act as escort/reception
Liaise with KLIX team to plan and manage events

Expectations:

Establish rapport with your Account Director along with other relevant departments
Remain composed and calm when things don’t go as planned
All communications are clear, concise and sent in a timely manner
Understand the process for escalating issues of concern, including asking for assistance from PMs and Senior PMs when applicable
Experience:
0 – 2 years of project coordination or relevant experience
Experience in marketing communications, including print or digital
CRM, software development, digital/interactive and/or new media projects are a plus but not a requirement
Agency experience and pharma experience is a plus
Certifications (PMP, CAPM, or equivalents) are not required, but are a plus
