Executive Assistant – NY

We’re looking for someone dynamic to work as an Administrative Business Associate for our growing teams.

Your role will be varied and diverse as you will be acting as the Administrative Business Associate for high-level individuals that manage different teams, skills-sets, and needs in a challenging fast paced environment.

As the point of contact, it’s important to always project a positive and professional image that demonstrates what Klick is all about. Our employees are based in Toronto, New York, Philadelphia, as well as scattered throughout the United States, you will be responsible for building relationships with these individuals and act as a gatekeeper for requests and have the ability to prioritize needs. The good news is that you have an awesome team of professionals working with you to ensure all functions are running smoothly from day to day.

  • Taking care of the personal and professional organization of these four C-Level employees; this includes organizing meetings, calendars, interviews, and travel coordination, amongst other tasks
  • You will be responsible for a variety of wide-ranging daily administrative tasks as well as organizing and interacting with a variety of teams that have over 150 individuals each.
  • Responsible for recruiting, hiring, onboarding, accounting, and managing of all freelancers in Toronto, New York and Philadelphia
  • Welcome guests (clients, candidates, deliveries) for those to whom you report to
  • You will have a role in event planning: organizing and managing team events, either monthly regroups, small group meetings, or full team offsites
  • Prepare internal and external correspondence
  • Prepare and reconcile expenses
  • In-depth knowledge of Company policy, structure and practices
  • Maintain advanced level of confidentiality and professionalism
  • Assist with miscellaneous projects as required

Qualifications

  • 3-5 years of relevant administrative experience.
  • Agility, flexibility, strong worth ethic
  • Tech-savvy with knowledge of Google docs (google drive, sheets, calendar, docs, etc)
  • Exceptional communication skills, both written and verbal
  • Strong time management skills and ability to prioritize
